Inventory Readiness Ahead Of The Summer Sprint

Many members approach an inventory launch with good intentions. But without true operational readiness, the result is often chaos instead of control—inaccurate counts, frustrated technicians, and systems that never quite deliver on their promise.
Over two focused days during the recent ServiceTitan Inventory Workshop, members came together (virtually) to change that outcome.
I was honored to facilitate the session along with Software Coach Laura Thornton. The workshop helped bridge the gap between understanding how ServiceTitan inventory works and knowing how to run inventory effectively in the real world. Combining operational and software perspectives helped participants replace uncertainty with practical direction. And the timing was perfect as our members focused on charting a clear direction ahead of peak season.
So, what did we learn?
Understand the past, fix the future — The workshop began by laying a strong foundation around inventory configuration. Members gained a clearer understanding of how to properly set up locations, vendors, and inventory settings inside ServiceTitan, discovering why past setups had caused issues and how to avoid those mistakes during launch.
Pricebook organization is key — Attention then shifted to the pricebook, an area many attendees admitted felt overwhelming prior to the workshop. Through practical examples and shared best practices, members learned how to organize material categories, structure SKUs, and maintain clean descriptions that support technicians in the field while improving reporting accuracy. Seeing real-world examples and understanding how pricebook decisions directly affect replenishment, reporting, and technician adoption gave members some action points for implementation.
Trucks are a place for instant wins — Truck inventory management proved to be one of the most engaging segments of the workshop. Members explored how standardized truck layouts, stocking templates, and min/max quantities reduce parts runs, increase first-call completion, and improve accountability. These conversations were immediately useful, helping participants rethink what truly belongs stocked on a truck and align their inventory decisions with actual usage.
The process is the success — The operational backbone of inventory (purchasing, receiving, replenishment, transfers, and returns) were discussed step by step. Attendees walked through purchase order and replenishment workflows, proper receiving practices, and the importance of eliminating blind receiving. Seeing these processes connected, rather than treated as separate responsibilities, with an emphasis on simple, repeatable workflows that protect margins and cash flow, gave instant direction to members.
Counts are essential — Counting and accuracy rounded out the workshop, with guidance on full counts, cycle counts, and acceptable variance thresholds for trucks and warehouses. This section shifted participants’ mindsets from viewing counts as disruptive events to seeing them as essential management tools, reinforcing that inventory accuracy is built through accountability, discipline, consistency, and leadership buy-in, not software alone.
By the end of the two days, members had a clear roadmap for their inventory management systems, balanced between strategy and execution. They left with the confidence to complete a successful ServiceTitan Inventory launch in their businesses well ahead of summer.
